KeepOnBudget ("we", "us", "our") provides budget-management software and this website (keeponbudget.com). This Privacy Policy explains what personal data we collect, why, how we use it, who we share it with, and the rights you have over it.

3. Information We Collect

Account & registration data — name, email address, billing address, and payment information when you register. Free accounts do not require payment details.

Financial data you provide — the budget, transaction, and financial information you enter into KeepOnBudget in order to use the service.

Communications — the email address and content of any message you send us directly (e.g. support requests).

Usage & analytics data — aggregate, non-identifying information about the pages you visit and how you use our website, collected via Google Analytics (see "Cookies & Analytics" below).

Push notification data — if you enable push notifications, a unique device token generated by your browser or device (see "Push Notifications" below).

4. How We Use Your Information

We use the information above to: provide and maintain the service; process billing; identify and authenticate you; respond to support requests; understand and improve how the service is used; deliver notifications you've opted into; and protect the service against fraud, abuse, and security threats.

5. Legal Basis for Processing

Where GDPR applies, we process your data on the following bases: performance of our contract with you (account and financial data), your consent (analytics cookies, push notifications — which you can withdraw at any time), and our legitimate interest in operating and securing the service (fraud prevention, service improvement).

6. Cookies & Analytics

  • A cookie is a small piece of data sent to your browser by a website and stored on your device, often including an anonymous unique identifier.
  • Essential cookies are required to use KeepOnBudget — we use session cookies to keep you signed in. You'll be asked to sign in again after a period of inactivity to help protect your account. If you accept cookies, we set a permanent cookie so we don't ask again.
  • Analytics cookies — we use Google Analytics to understand aggregate site usage (pages visited, general engagement). Google may process this data in accordance with its own Privacy Policy. You can opt out using Google's Analytics Opt-out Browser Add-on.

7. Push Notifications

KeepOnBudget offers optional push notifications to help keep you up to date with your budget. If you grant permission, we use Firebase Cloud Messaging (FCM), a service provided by Google, to deliver these notifications to your browser or device.

When you enable push notifications:

  • Your browser or device generates a unique device token, sent to and stored by KeepOnBudget so notifications can be routed to the correct device.
  • The token is not used to identify you beyond linking it to your KeepOnBudget account, and is only used to deliver notifications you've requested.
  • Firebase Cloud Messaging processes the token as a data processor on our behalf, per Google's Privacy Policy.
  • You can withdraw consent at any time via your browser/device settings or your KeepOnBudget account settings — we delete the associated device token when you do.

8. Third-Party Service Providers

We use the following categories of third-party providers to operate KeepOnBudget. Each processes data only on our behalf and under our instructions:

  • Infrastructure and hosting providers — to run and store our application and databases
  • Google Analytics — aggregate website usage analytics
  • Firebase Cloud Messaging (Google) — push notification delivery
  • Email delivery providers — transactional and account-related email

9. How We Share Your Information

We do not sell your data. We do not share it with other organisations for commercial purposes, except: to provide products or services you've requested; with your permission; where necessary to investigate or act on illegal activity, suspected fraud, a safety threat, or a Terms of Service violation, or as otherwise required by law; or if KeepOnBudget is acquired by or merged with another company, in which case we'll notify you before your data becomes subject to a different privacy policy.

10. International Data Transfers

Some of our service providers (including Google, for Analytics and Firebase Cloud Messaging) may process data outside your country of residence. Where this involves a transfer out of the European Economic Area, we rely on the provider's own compliance mechanisms (such as the EU-U.S. Data Privacy Framework or standard contractual clauses).

11. Data Retention

We retain personal data for as long as your account is active or as needed to provide the service, comply with our legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your data at any time (see "Your Rights" below).

12. Data Security

We use appropriate technical and organisational measures to protect your data. No method of transmission or storage is 100% secure, but we work to protect your information and will notify you as required by law in the event of a breach affecting your data.

13. Your Rights Under GDPR

If you are located in the European Union, you have the right to:

  • Access the personal data we hold about you
  • Correct any incorrect or incomplete personal data
  • Restrict or object to our processing of your personal data
  • Request erasure of your personal data ("right to be forgotten"), where certain conditions are met
  • Data portability, where processing is based on consent and carried out by automated means
  • Withdraw consent at any time, where our processing is based on consent — including consent to analytics cookies or push notifications
  • Lodge a complaint with a supervisory authority if you believe your privacy rights have been violated

14. Children's Privacy

KeepOnBudget is not directed at children under 16, and we do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us at [email protected].

15. Changes to This Policy

We may update this Privacy Policy from time to time. We'll notify you of significant changes by emailing the primary address on your KeepOnBudget account, or by posting a prominent notice on our site.
